Who this policy covers
This policy describes how Sozo Property Solutions LLC handles personal information through SitePro Max. It applies to the public website, mobile application, support channels, and related services that link to it.
A contractor business may enter information about its customers, workers, and subcontractors. That business is responsible for having authority to provide the information and for using SitePro Max consistently with applicable law.
Information we handle
The information processed depends on the features a user, company, or administrator chooses to use.
- Account and identity: name, email address, authentication identifiers, company, role, team membership.
- Customers, jobs, and operations: customer contact details, job-site addresses, estimates, scopes, schedules, assignments, completion and quality-control records.
- Commercial and financial records: catalog prices and costs, bids, invoices, payment status, purchase orders, tax and compliance documents.
- Content you provide: photos, documents, notes, signatures, AI prompts and responses, support messages.
- Precise location: foreground location captured when a restricted field action is checked against an assigned job site.
- Audio and transcripts: voice notes, live microphone input, speech transcripts.
- Device, usage, and diagnostics: device and app version, push token, IP address, user agent, audit events, crash traces and performance data.
How we use information
We use information to provide, secure, support, and improve SitePro Max and to carry out the workflows a user requests.
- Authenticate accounts and enforce company, tenant, and role boundaries.
- Operate estimating, project, field, subcontractor, document, financial, notification, and support workflows.
- Generate requested AI output, speech transcripts, PDFs, emails, payment links, and integration syncs.
- Prevent abuse, investigate errors, maintain audit records, and protect users and the service.
- Meet legal obligations and enforce applicable agreements.
AI and connected services
Prompts, selected job context, documents, audio, or retrieved reference material may be sent to the providers needed to complete an AI or transcription request. Do not submit information that is unnecessary for the task.
Connecting QuickBooks Online or creating a Stripe payment link is optional. Those providers process information under their own terms and privacy notices. SitePro Max does not collect payment-card numbers entered on a Stripe-hosted checkout page.
Device permissions and choices
Camera, photo-library, microphone, calendar, notification, and foreground-location access are requested for the features described in the permission prompt. Device settings can revoke these permissions, although the related feature may stop working.
Users can manage notification choices in the product where available and can use Support for privacy access, correction, export, or deletion questions. Some requests may require identity and authority verification.
Retention and deletion
We retain information for as long as needed to provide the service, preserve authorized business and audit records, resolve disputes, maintain security, and meet legal obligations. A single universal retention period has not been established for every record type.
Deletion may remove or de-identify personal information that is not required to be kept. Shared company records, signed documents, payment and tax records, security logs, legal holds, and backup copies may require different treatment. See Account Deletion for the current request path.
Security, children, and changes
SitePro Max uses authentication, tenant-scoped access, role controls, private storage policies, and server-side authorization for sensitive operations. No system can guarantee absolute security.
SitePro Max is a business product and is not directed to children. Contact Support if you believe a child provided personal information without appropriate authorization.
We may update this policy as the service or legal requirements change. The effective date identifies the current version. Use Support for privacy requests or Contact for other questions.
